Policies & Procedures

At Bay Area Racquet Club (BARC), we are firmly committed to serving our members and guests visiting and utilizing our facility. To demonstrate our commitment, BARC has adopted policies and procedures for its services based on principles of notice/awareness, access/participation and integrity/security. Our policies and procedures are intended to handle members and guests’ information in a safe and responsible manner. By accessing our facility and services, you consent to have read, understood and are in agreement with all terms in the policies and procedures. Any changes to the policies and procedures will be done without notice to you.

Youth Tennis Policies & Procedures

Payment
a. Youth Tennis Programs
Credit cards are processed before the start of each new session. If your child will no longer be attending the program, it is REQUIRED to provide a written email notification two weeks prior to the start of the next session otherwise your credit card will be charged.
b. Private Lessons
Private lessons are charged automatically once the lesson has taken place. If your current package has ended, a new package will be charged and added automatically to your account. At the end of your current package, if you decide not to continue, you must notify management early or change your private lesson payment.

Inclement Weather
a. Adult & Youth Tennis Programs
In case of weather issues, program cancellations will be communicated via email, text, and/or social media (X and Facebook posts) roughly 1 hour before the beginning of a group class. Makeups will not be held for Junior Academy programs; your child can attend another day during the same occurring session at any BARC location. Any makeup out of the current session will be conducted at the discretion of the Director. Refunds or credits are not issued due to weather interruption.
b. Tennis Camps
Summer and Holiday Tennis & Adventure and Tennis camps will meet on a regular schedule, rain or sunshine. No makeup sessions are offered.
c. Private Lessons
In case of interruption by weather, your private coach will notify you of your private lesson cancellation.

Private Lesson
A 24-hour notice is required for cancellation or full lesson fees will be charged. 

Credit Card Transaction
All credit cards in our system have the authority to be charged if any activity takes place which includes private lessons, group classes, drills, JTA, Tournaments, Proshop, and others.

Refund
a. Refunds are subject to the policies and procedures listed above.
b. Refunds are applicable only if you adhere to the above policies and procedures.
c. Refunds are subject to a minimum 20% Administration Fee. (The fee is designed to pay applicable third party fees that are assessed when seeking a refund.)

Membership Policies & Procedures

Member Dues Payment ​
a. Each member will receive a statement of activities and membership dues on the first of each month through email. Credit card charges will be automatically processed before the 3rd of every month.

​b. If your account has any discrepancy, notify management before the 1st of every month. After the 3rd of every month, charges will be processed; no refund or credit will be provided.

Monthly Membership
a. Must pay first and last month upfront.

b. 30-day notice required to modify status.

c. Must have credit card on file.

d. If a monthly membership is cancelled and you would like to rejoin within a 12 month time period from cancellation, there will be a $79 Activation fee Required.

Semi-Annual Membership
a. This membership level is a commitment and refunds are not applicable unless proof of re-location out of state or over 75 miles from the club.

b. This membership level is automatically renewed and payment will be processed at the time of renewal, unless a 30-day written notice is provided.

c. Members can place up to (1) Hold not to exceed a total of  one month. Holds must be requested in writing.

d. Must have a Credit Card on File.

Annual Membership
a. This membership level is a commitment and refunds are not applicable unless proof of re-location out of state or over 75 miles from the club.

b. This membership level is automatically renewed and payment will be processed at the time of renewal, unless a 30-day written notice is provided.

c. Members can place up to (2) Holds not to exceed a total of  three months. Holds must be requested in writing.

d. Must have a Credit Card on File.

18 Month Membership
a. This membership level is a commitment and refunds are not applicable unless proof of re-location out of state or over 75 miles from the club.

b. This membership level is automatically renewed and payment will be processed at the time of renewal, unless a 30-day written notice is provided.

c. Members can place up to (2) Holds not to exceed a total of  four months. Holds must be requested in writing.

d. Must have a Credit Card on File.

HLTA Membership
a. Seasonal Membership (5 month season) must be paid in full at the time of joining.

b. Fall Season: August 1-December 31 and Spring Season: January 1-May 31.

c. This membership level is automatically renewed and payment will be processed at the time of renewal, unless a 30-day written notice is provided.

c. Members can place up to (2) Holds not to exceed a total of  three months. Holds must be requested in writing.

d. Must have a Credit Card on File.

Court Reservation ​
Court may be reserved by members with up to 4 days in advance with a maximum duration of 2 hours. To cancel your reservation, call the club 24 hours prior to your reserved court time.

Ball Machine ​ 
Every member can call and make reservations for the ball machine up to 48 hours in advance for a maximum of 1 hour. If the machine is not booked afterwards, and a court is available, additional time can be provided.

Adult Leagues​  
a. Free Adult Leagues can be attended on unlimited basis with a current membership status.

b. To participate in HLTA Leagues, members must have active membership status throughout the duration of the league season.​

Guests  
a. An active member can bring up to one guest per day to the club for recreational play at no fee.

b. The same guest can make a visit to BARC at a maximum of one time in a month with no additional fees. The same guest cannot exceed 2 guest visits per month.

c. The same guest pays no guest fee on their first visit of the month.

d. If the same guest visits the club a 2nd time in the same month, a guest fee is applicable.

​e. All guests must sign in at the members’ service desk prior to stepping onto the court. 

f. Guest fees will apply after 1st complimentary visit. Guest fee = $25+ tax.

Membership Cancellation & Charges
a. To cancel your membership, you must notify the club management 30 days in advance before your renewal by email: Success@BayAreaRacquetClub.com

b. Membership Fees are non-refundable and non-transferable.

​c. You must notify management by email/in writing Success@BayAreaRacquetClub.com of any changes to your current membership (annual, semi, HLTA Season, or monthly) or it will be renewed automatically and fees processed on credit card on file.
